How Elite Fleet Events LLC collects, uses, retains, and protects your personal information, including SMS communications, GDPR rights, and CCPA disclosures.

1. Information We Collect

We collect information you provide directly to us — name, email address, phone number, event details, and payment information — when you request a quote or make a booking. We also collect server logs (IP address, browser type, device information, pages visited) for security monitoring and service improvement.

2. SMS Communications

When you provide your phone number and opt in to receive SMS messages through our booking forms, we may send transactional text messages from the toll-free number +1 (866) 328-4589 (display: (866) 328-4589). These include booking confirmations, driver dispatch and arrival updates, event transportation coordination, customer support responses, and payment and billing notifications. Message frequency varies based on your reservation, event schedule, and service interactions. We do not send marketing or promotional messages via SMS. Your phone number is used solely for operational communication related to your booking. SMS messages are delivered through our service provider, Twilio.

You may opt out at any time. Reply STOP to any message to unsubscribe. Reply HELP for assistance. Message and data rates may apply. Consent to receive SMS is not a condition of purchase. See our SMS Consent page for the full opt-in disclosure and sample messages.

3. We Do Not Sell or Share Your Phone Number

Elite Fleet Events LLC does not sell, rent, trade, or share phone numbers (or any personal information) with third parties for marketing purposes, and mobile information is not shared with third parties or affiliates for marketing or promotional purposes. We have not done so in the past and we will not do so in the future. Phone numbers and SMS opt-in consent are kept strictly within Elite Fleet Events LLC and our service provider Twilio for the sole purpose of delivering operational messages related to your booking.

4. SMS Delivery Records & Regulatory Retention

We retain records of outbound SMS messages, including message identifiers (Twilio SIDs), recipient phone numbers, message type, delivery status, and timestamps. These records are maintained for regulatory compliance, traceback cooperation with the Secure Telephony Identity Policy Administrator (STI-PA) and the US Telecom Traceback Group, and lawful data retention requirements. SMS delivery records are retained for a minimum of two years or as otherwise required by applicable regulations.

5. Third-Party Service Providers

We use the following service providers to deliver and support our services:

  • Twilio — SMS messaging and phone number verification
  • Stripe — Payment processing, deposit collection, and payment links
  • DocuSign — Digital contract signing and document management
  • Google — Authentication via Google Sign-In
  • Resend — Transactional email delivery
  • Independent transportation operators — Fulfillment of vehicle and logistics services

6. How We Use Your Information

We use the information we collect to process bookings, communicate with you about your reservations, send service-related notifications (email and SMS), maintain platform security, and comply with legal obligations.

7. Your Rights (GDPR & CCPA)

Depending on your location, you may have the following rights regarding your personal data: access, rectification, erasure, restriction of processing, data portability, objection, and withdrawal of consent. California residents have additional rights under CCPA/CPRA, including the right to know, delete, and correct personal information. We do not sell personal information.

8. Data Retention

  • Booking and event data — 7 years after the event date.
  • SMS delivery records — minimum 2 years for regulatory compliance.
  • Audit logs — 3 years for security monitoring and fraud prevention.
  • Payment records — 7 years as required by tax and financial regulations.
  • Signed contracts — duration of the contractual relationship plus 7 years.

9. Data Security

We implement appropriate security measures to protect your personal information. Sensitive data is encrypted at rest using AES-256-GCM. Payment card data is handled entirely by Stripe and never touches our servers.
